Reports to: JPW Property Director

Works Alongside: Property Managers, Administrators, Accounts Team

Salary Up to £27,000 pa Negotiable depending on experience.

Location: London

Department/Division: Property Management

Overall Purpose

- To assist and undertake the efficient and effective management of the property portfolio to ensure that all clients/parties are satisfied with the service provided. This will include:

- Assisting Property Mangers in help them maintain and strengthen existing client relationships.

- Ensuring provision of a high level of customer service throughout the Property Management team.

Key Responsibilities

Financial Management

- Being first point of contact for the company on the phone.

- Carry out administrative duties to support the Property Managers. i.e. placing maintenance order and following the job through, dealing with insurance claims, drafting solicitors’ enquiries for the Property Manager to approve, ensuring all correspondence is sent on in line with company procedures.

- Answering phone calls within 3 rings and logging calls on system

- Monitoring company email in box alongside other coordinators and ensuring internal SLA’s are met

- Attending departmental meetings and playing an active part in helping in improve systems and processes

- To ensure service charge and ground rent demands are issued in advance of the due date, liaising with Property Manager.

- Deal with queries relating to your portfolio or appropriately passing on a clear message to the appropriate team.

- Excellent telephone manner with good communication skills

- A pro-active “can do” attitude and is able to demonstrate initiative

- Work to tight deadlines and react to urgent situations, as required

- Good IT skills

- A strong team player

- Excellent customer service and letter writing skills.

Key Relationships

Internal

- With members of the JPW Property Management team, administrators Accounts Team, and maintenance companies.

- Excellent communication skills between different teams/ external parties essential.

- Experience of successfully organizing team building events and initiatives is desirable

External

- Lessees, Clients, Freeholders, Developers, Contractors, Site Staff.

Education/Qualifications

Member of the IRPM is advantageous and good education level although training sponsorship for right person.

Experience

Bock management experience advantageous. Use of Qube system also advantageous
