The role of PA to the Directors and HR manager at JPW Real Estate encompasses the following duties:
Personal Assistant Duties
• Assistance with Managing Director’s business and personal non-financial affairs.
• Secretarial and administrative support to other Directors.
• Answering the telephone and general reception work alongside staff
• Diary management
• Arranging meetings, travel arrangements, lunches, corporate entertainment and liaising with clients in relation to these events.
• Filing and archiving
• Reminding Directors of important tasks and deadlines (including Company filing dates)
• Assist with Company Financial administration
Office Duties
• Updating website news items, twitter feed, LinkedIn
• Opening and distributing post daily.
• Ensure all cheques are processed in line with Company procedure
• Ordering office Stationary and office supplies
• Assisting with compliance of ISO 9001:2001 management system
• Liaising with company suppliers
• Reconciling the company’s credit card accounts.
• Collating and maintaining professional staff expense claims on a monthly basis
• Maintaining and reconciling the head office petty cash
• Administer the Complaints Database
HR Manager Duties
• Maintain holiday and sickness records
• Maintain online HR database
• Responsible for liaising with line managers on end of probation period reviews, annual appraisals and training requirements.
• Implementing and maintain HR procedures, policies and systems.
• Responsibility for organising new employment process.
• Point of contact for all new employee questions.
• Updating and maintaining employee benefits.
